# HubSpot Pipedrive integration

## What a HubSpot to Pipedrive integration actually does

HubSpot and Pipedrive both think they own the customer. HubSpot holds the marketing side - the form fills, email engagement, lifecycle stage, the lead score that says this contact is ready. Pipedrive holds the sales side - the deal, the pipeline stage, the activities a rep logs on the way to closing. When those two live in separate tools, the same person exists twice, and the two versions drift the moment anyone edits either one.

A HubSpot to Pipedrive integration closes that gap automatically. It matches the same person and company across both systems, moves the record and its context in the agreed direction, and keeps updates flowing so a marketing-qualified lead in HubSpot becomes a real deal in Pipedrive without a rep re-typing anything - and so a closed-won deal in Pipedrive updates the lifecycle stage back in HubSpot without marketing chasing it.

The exact field pairs, owner mapping, and stage mapping are agreed once and encoded in the pipeline. After that, nobody re-maps them by hand.

## The details that break naive syncs

A Zap or a native connector gets you the easy 80% and leaves the expensive 20% on your desk:

- **Identity and dedup.** HubSpot dedupes contacts by email and companies by domain; Pipedrive does not enforce the same rules and will happily create a second person with the same email. Without a stored HubSpot-to-Pipedrive ID mapping, every sync risks a duplicate, and merges on either side orphan the link.
- **Stage and pipeline mapping.** HubSpot lifecycle stage, lead status, and deal stage are three different fields; Pipedrive has pipelines and stages that almost never line up one-to-one. Deciding which HubSpot event opens a Pipedrive deal, and in which stage, is real mapping work - not a checkbox.
- **Custom fields.** Pipedrive custom fields are addressed by a 40-character hashed API key, not by their display label, and HubSpot properties by an internal name that differs from the UI label. Get the pairing wrong and data lands silently in the wrong field.
- **Owner and user mapping.** HubSpot owner IDs and Pipedrive user IDs are separate directories. A deal has to arrive under the right rep, which means a maintained mapping between the two, including leavers.
- **Rate limits.** HubSpot private apps cap requests per ten seconds and per day; Pipedrive enforces a token-based budget per company. A naive full sync of a large book of contacts will hit both. The pipeline has to page, batch, and back off.
- **Delta vs full sync.** Re-scanning every record nightly is slow and burns rate limit. We watermark on last-modified time and subscribe to webhooks so only what changed moves - while staying idempotent so a webhook replay never duplicates.

## How we build and run it

We treat this as a pipeline, not a Zap. Changed records are picked up by webhook or by a delta poll on last-modified time, matched to their counterpart by the stored ID pair, transformed into the agreed field mapping, and written to the other system through its batch API with paging and back-off tuned to each rate limit.

The pipeline is idempotent: every record carries a stable identity and a resolved ID mapping, so a retry, a webhook replay, or a re-run never creates a duplicate person, organization, or deal. It runs on cloud-native, fully EU-hosted AWS infrastructure, so contact and company data never leaves the EU - which keeps your DPA / AVV and GDPR position clean.

And then we keep it running. Monitoring, alerting, incident response, and - critically - watching for HubSpot and Pipedrive API changes, endpoint deprecations, and rate-limit changes are our responsibility under contract. You get a named owner and an SLA, not a workflow someone has to remember exists.

If you push a handful of leads a month one way, from HubSpot into Pipedrive, and never update them again, a Zap is genuinely fine and we will tell you so. ### Why not just use Zapier or the native HubSpot-Pipedrive connectors?

For a low volume of one-directional record creation, a Zap is genuinely fine. It breaks once you need two-way updates, deduplication against records that already exist in both systems, and stage mapping across pipelines that do not line up. Point tools fire per-event with no memory, so a re-run or a webhook replay creates duplicates, and they have nowhere to store the HubSpot-to-Pipedrive ID mapping that keeps the two sides matched over time.

### Which direction does the data flow?

Whichever your process needs, and often both. A common pattern is marketing qualifies leads in HubSpot and hands them to sales in Pipedrive, so contacts, companies, and marketing context flow HubSpot to Pipedrive, while won or lost deal outcomes and owner changes flow back. We agree the authoritative system per field up front so a two-way sync never fights itself over who last wrote a value.

### How do you stop duplicate contacts and organizations?

We match on a stable key - normally email for people and domain for companies - and store the resolved HubSpot-to-Pipedrive ID pair so every later update targets the existing record instead of creating a new one. Where a match is ambiguous we route it to a review step rather than guessing. This is the single biggest thing naive syncs get wrong.

### Can it map our HubSpot lifecycle stages to our Pipedrive pipeline stages?

Yes. HubSpot lifecycle stage and deal stage live in a different model from Pipedrive pipelines and stages, and the two rarely map one-to-one.
