Personio is where your recruiting lives: the open positions, the pipeline stages, the candidates, their CVs, and who moved to interview. LinkedIn is where the candidates are - both as a place to advertise a role and as the source of a large share of applications. The two do not naturally stay in step.

A Personio to LinkedIn integration closes that gap in both directions. Open positions in Personio become properly structured LinkedIn job postings. Applications submitted through LinkedIn Apply Connect land back in Personio as candidates, with the CV attached and mapped to the right opening. And as a candidate moves through your Personio hiring stages, that status flows to LinkedIn Recruiter through Recruiter System Connect, so recruiters working inside Recruiter see the same reality as your talent team working inside Personio - without anyone re-keying a status twice.

The exact stage-to-status map, the location and job-function mappings, and the dedup rules are agreed once during scoping and encoded in the pipeline. After that, nobody maps them again by hand.

## The details that break naive syncs

A generic connector or a nightly export gets you most of the way and leaves the expensive part on the recruiter's desk:

- **Location and taxonomy.** LinkedIn does not accept free text. A posting needs a standardized location, job function, seniority, employment type, and workplace type (on-site, hybrid, remote). Personio's free-text city and custom fields do not map one-to-one, and a bad mapping either fails the post or buries it where nobody searches.
- **Stage-to-status mapping.** Personio lets you define arbitrary recruiting stages. LinkedIn Recruiter has a fixed hiring-status set. Mapping your stages onto theirs - and deciding which Personio stage counts as "interviewing" versus "offer" - is a judgement call that has to be encoded, not guessed per event.
- **Applicant dedup.** The same person applies through LinkedIn Apply and through your careers page. Without a matching rule on email, you end up with two candidates on one opening and a recruiter reconciling by hand.
- **Do not repost a live job.** Deleting and recreating a LinkedIn posting to reflect an edit resets its age, its reach, and its applicant history. An update has to edit the existing posting in place.
- **Delta, not full sync.** Re-pushing every open position every night re-triggers postings and status writes. The pipeline sends only what changed since the last run.
- **Partial failures.** A job posts but the status write fails; an application arrives but the CV upload is rejected. Each step has to retry independently without duplicating the parts that already succeeded.

## How we build and run it

We treat this as a pipeline, not a batch job. Personio position, candidate, and stage events are pulled on a schedule or by webhook, validated, mapped to LinkedIn's structure, and written through the Job Postings, Apply Connect, and Recruiter System Connect APIs - and inbound applications are pulled the other way into Personio.

The pipeline is idempotent: every Personio record and every LinkedIn application carries a stable identifier, so a retry or a re-run never posts a job twice or creates a duplicate candidate. It runs on cloud-native, fully EU-hosted infrastructure, so candidate PII and CVs never leave the EU - which keeps your DPA / AVV and your DSGVO obligations for applicant data clean.

And then we keep it running. Monitoring, alerting, incident response, and - critically - watching for changes to Personio's and LinkedIn's APIs are our responsibility under contract. LinkedIn's Talent Solutions APIs and partner requirements shift; when they do, that is our problem to fix, not a surprise your recruiters discover when a role stops posting. You get a named owner and an SLA, not a script somebody has to remember to run.

## When this integration is worth building

If you hire for a few roles from one office and Personio's built-in LinkedIn connection already covers you, use it - we will say so. A managed pipeline earns its place when you post across multiple offices and legal entities, when custom recruiting stages need a deliberate map onto LinkedIn's status set, when you run multi-language or high-volume postings where a bad taxonomy mapping quietly costs you applicants, or when recruiting is one part of a wider Personio flow that has to stay consistent. At that point the native connector's gaps become recruiter hours, and a pipeline that owns the mapping and the operation pays for itself.

### Does Personio not already have a native LinkedIn integration?

It does, and for a single hiring entity posting a handful of roles it is genuinely enough. Personio ships Recruiter System Connect and basic job posting. The managed pipeline earns its place when you post across multiple offices and legal entities, need custom stage-to-status mapping, run multi-language postings, or want LinkedIn wired into a wider Personio flow that the native connector does not touch. ### What is Recruiter System Connect and do we need it?

Recruiter System Connect (RSC) is LinkedIn's approved-partner link that lets recruiters see and update ATS candidate context from inside LinkedIn Recruiter, and lets your hiring stages sync back. You need it if your team lives in Recruiter and wants Personio status reflected there without double entry. It requires a LinkedIn Talent Solutions contract and partner approval, which we handle as part of scoping.

### How do you stop the same person becoming two candidates in Personio?

Applicants who arrive through LinkedIn Apply Connect are matched against existing Personio candidates on email first, then on name plus position as a fallback. A match updates the existing record and attaches the new application to the right opening rather than creating a duplicate. This dedup logic is the single most common thing naive imports get wrong.

### What happens to a LinkedIn job posting when the role is filled in Personio?

When a position is closed or filled in Personio, the pipeline takes the LinkedIn posting down rather than leaving a ghost job collecting applications. Crucially it edits or closes the existing posting instead of deleting and reposting, so a role that is merely updated keeps its reach and its accumulated applicant history instead of restarting from zero.

### Where does applicant data live, and is it GDPR-compliant?
