## The details that break naive syncs

A Marketplace app or a Zap gets you the happy path and leaves the expensive edge cases on your desk:

- **Email is the identity, and Pipedrive is loose about it.** Mailchimp keys every member on the lowercased email. Pipedrive lets a person carry several emails with labels and happily tolerates duplicate persons. Without a deduplication and "which email wins" rule, the same human ends up as two members or none.
- **Consent is not a boolean you can flip.** You cannot push a cold Pipedrive contact into Mailchimp as subscribed and hope. Marketing consent, double opt-in, and the Mailchimp status (subscribed, pending, unsubscribed, cleaned) have to be respected, and a GDPR audit will ask you to prove it.
- **Unsubscribes are one-way by design.** Mailchimp blocks the API from resubscribing an unsubscribed or cleaned address. A naive sync that re-pushes "subscribed" every night either errors or, worse, silently drifts. The unsubscribe has to win and flow back to Pipedrive.
- **Name splitting and field types.** Pipedrive stores one name; Mailchimp wants FNAME and LNAME. Merge fields are typed - dates, addresses, and phone numbers have formats Mailchimp will reject if you feed them raw CRM strings.
- **Rate limits and volume.** Mailchimp caps concurrent connections and rewards batch operations; a person-by-person loop over a large audience is slow and fragile. Delta sync (only what changed) beats re-pushing the whole book every run.
- **Tags accumulate.** Moving a deal from "opportunity" to "won" should remove the old tag, not just add the new one, or your segments quietly rot.

## How we build and run it

Pipedrive changes arrive by webhook or scheduled poll, are validated, matched to the right Mailchimp member by email, and written through Mailchimp's batch API. Mailchimp webhooks for unsubscribes, profile updates, and cleaned addresses flow back into Pipedrive the same way.

The pipeline is idempotent: every person and deal carries a stable identifier, so a retry or a re-run never creates a duplicate member or double-books an activity. It runs on cloud-native, fully EU-hosted AWS infrastructure, so contact data never leaves the EU - which keeps your DPA / AVV and GDPR obligations clean.

It falls short once you need deal-stage-driven segmentation, two-way sync of engagement and unsubscribes, multiple audiences, or consent handling that survives an audit. ### How are contacts matched between Pipedrive and Mailchimp?

By email address, which Mailchimp treats as the primary key (it stores members under an MD5 hash of the lowercased email). Pipedrive persons can have several email addresses and outright duplicates, so we agree which email wins, deduplicate before syncing, and keep a stable link so the same person is never created twice in Mailchimp or split across two members.

### What happens when someone unsubscribes in Mailchimp?
